The Apto AI Toolkit

Interactive tools from the course: the tool directory, the Stack Test, the Stack Audit, and the KPI Matrix — plus the BRIEF and DVD quick-reference cards. Nothing here is stored or sent anywhere; it all runs in your browser.

Which AI for What?

Pick the task — get the tool the field consensus favors. All four frontier assistants can do all of these; this is about where each one shines.

04 · Memory Aids

Write a BRIEF. Follow the DVD.

Prompting is briefing — so write a BRIEF. The five letters are a checklist, not a script: cover all five in any order.

B
Background
The context. Paste the data, the history, the prior emails.
R
Role
Who the AI should be. "You are a communications director…"
I
Intent
The mission — the specific deliverable and its audience.
E
Expectations
The constraints — length, tone, format, what to avoid.
F
Format & standard
What excellent looks like — an example, or the criteria you'll judge by.

Your one-page AI policy has three rules — the DVD Rule. Dated like the disc; impossible to forget.

D
Data
Know what never goes in: client PII, employee records, financials under NDA, credentials. Exposed credentials get rotated immediately.
V
Verify
AI drafts, humans sign. Names, numbers, dates, and citations get independently checked before anything ships.
D
Disclose
Decide once, in advance, where you disclose AI assistance — and write the decision down.

DOs & DON'Ts of Using AI

✓ DO

  • Treat the first output as a staff estimate — iterate in the same conversation instead of restarting.
  • Paste context generously. The model only knows what it was trained on plus what you give it.
  • Make it interrogate you: "Before drafting, ask me the five questions you need answered."
  • Use it for T-tasks — drafts, summaries, options, reformatting — where unverified output is tolerable.
  • Verify names, numbers, dates, and citations independently, every time, before anything ships.
  • Master one assistant deeply before adding any other tool.
  • Capture a baseline before rollout so progress claims are credible.
  • Tell your team what you use it for. Modeled behavior beats mandated behavior.

✗ DON'T

  • Don't paste client PII, employee records, NDA material, or credentials into consumer AI tools. Ever.
  • Don't ship AI output unreviewed. Accountability is not transferable — "the AI suggested it" survives nothing.
  • Don't trust confident citations, statistics, or legal/medical claims without checking. Confidence is not accuracy.
  • Don't buy six tools to feel like you're adopting. Subscriptions are easy to start and invisible to carry.
  • Don't use it as a search engine and conclude it's overhyped. Shallow usage produces shallow results.
  • Don't mandate by ambush — a tool announced Monday, mandatory Friday, builds resistance, not adoption.
  • Don't investigate an exposed API key or password. Rotate it immediately; investigate after.
  • Don't let the tool decide. It generates options; you own outcomes.
06 · Module 3 Tool

The Apto Stack Test

Thinking about a new AI subscription? Answer four questions, in order. The test runs at the door — not at renewal.

Question 1 of 4
Can your Tier 1 assistant (Claude / ChatGPT / Gemini / Copilot) already do this well enough?
Question 2 of 4
Does a tool you already pay for do this? (Check the AI features inside Workspace / 365 / Canva first.)
Question 3 of 4
Will it save more hours per month than it costs in dollars AND attention?
Question 4 of 4
Will you still be using it in 90 days?

The Stack Audit

List every subscription your organization pays for. Most leaders discover they already pay for AI they've never turned on.
